Privacy Notice

TechHireHQ is an independent early-stage project developed under the TechHireHQ brand. The current website includes product information, an interactive demo with synthetic data only and an early access request form. This notice explains what information is collected, why it is needed, which external providers may receive it and how you can exercise your rights.
1. About the project and responsibility for data
TechHireHQ is currently being developed as an independent early-stage project and is not operated through a registered legal entity. Information submitted through the website is processed as part of the TechHireHQ project. For privacy questions and requests relating to your information, contact hello@techhirehq.com. This section will be updated if the legal structure of the project changes.
2. Scope of this notice
This notice applies to visitors of the TechHireHQ website, users of the interactive demo and people who submit an early access request. The public interactive demo uses synthetic profiles and sample hiring data only. It is not intended to process real candidate information, CVs or confidential hiring records.
3. Information we collect
When you request early access, you must provide your email address and confirm this Privacy Notice and the Early Access Terms. You may optionally provide your name, role, company or team size, current applicant sources, the types of technical roles you hire for, an additional contact method, a description of a hiring challenge and whether you explored the interactive demo. You may separately choose whether to receive optional product news. After you submit a request, we ask you to confirm your address through a link sent by email, and we record the fact and time of that confirmation together with technical details about the confirmation emails we sent. Do not submit real candidate CVs, candidate personal data, passwords, trade secrets or other confidential information through these forms.
4. How we use information
We use information to manage your early access request, send service messages related to that request (such as confirmation, status updates and invitations when access becomes available), understand the needs of technical teams, improve the website and interactive demo, and prevent spam and abuse. Optional product news and similar updates are sent only when you provide separate marketing consent. We do not sell personal information, provide it to advertising networks or use early access list data for automated hiring decisions.
5. Grounds for processing
Depending on the purpose and applicable law, processing may be based on your request for early access, our legitimate interest in developing and protecting the project, your consent (including separate consent for optional product news) or applicable legal obligations. Refusing optional product news does not affect consideration of your early access request. Withdrawing marketing consent does not delete your early access request.
6. Service providers and international processing
We use external service providers where needed to operate the website and process early access requests. Depending on the activity, information may be processed by: Neon (database hosting for early access list requests, stored in the Asia-Pacific region (Singapore)); Resend (delivery of service emails and, where you have consented, product news); Cloudflare (website hosting, security and anti-abuse protection, and aggregated website analytics); Upstash (short-lived rate-limit identifiers used only for abuse prevention in production); Cloudflare Turnstile (anti-abuse verification on the early access form when enabled); and Sentry (error diagnostics with technical context stripped of personal and form content where possible). These providers may process limited technical data such as IP addresses, request metadata or device information as part of delivering their services. Some providers may process information in countries other than your own. We share only what is needed for the relevant service and apply reasonable safeguards, but we do not claim that data never leaves a particular country or that providers receive no technical data at all.
7. Analytics and cookies
This website does not use Google Analytics, Google Tag Manager, PostHog or similar marketing or product analytics tools that create user profiles. Cloudflare Web Analytics may be enabled to collect aggregated information about visits and page performance. It is not used to identify individual visitors or build behavioral profiles. In the current setup, Cloudflare Web Analytics does not rely on analytics cookies or local storage for its measurements. Theme and language preferences may still be stored locally in your browser for basic site functionality. Early access list field values, feedback messages, CVs, interview notes and candidate information are not sent to analytics.
8. Email communications
After you submit a request, we send an email containing a link to confirm your address, and we may remind you once if the address remains unconfirmed. We may then send service messages that relate directly to your early access request, such as confirmation, status information and invitations when access becomes available. These service messages are sent regardless of whether you agreed to optional product news. Product news and similar optional updates are sent only when you provide separate marketing consent. You can withdraw marketing consent at any time by contacting hello@techhirehq.com. Withdrawing consent to product news does not remove your early access request.
9. Retention
Early access request information is kept for no longer than 24 months from the date you submit your request, unless it is deleted earlier at your request, withdrawn by you, or no longer needed after access is provided — whichever occurs first. Requests with an unconfirmed address are deleted sooner, 90 days after submission, because an address nobody confirmed is of no use to us. After you withdraw marketing consent, we may retain a minimal record of that choice to avoid sending further optional messages, but this does not delete your early access request. Short-lived anti-abuse identifiers used for rate limiting are not stored together with your early access request and expire automatically. Security logs and de-identified statistics may be retained separately for a limited period.
10. Your rights
Depending on applicable law, you may request access to your information, correction of inaccurate information, deletion, restriction of processing, a copy of information you provided or object to certain processing. You may withdraw consent for optional product news at any time without deleting your early access request. To submit a request, contact hello@techhirehq.com. We may ask you to verify ownership of the email address or otherwise confirm that the request relates to your information. Where applicable law provides such a right, you may also lodge a complaint with a competent data protection authority.
11. Security, error monitoring and automated decisions
We use reasonable organisational and technical measures intended to restrict access, protect forms, prevent spam and reduce the risk of unauthorised disclosure. However, no internet service can guarantee absolute security. Error monitoring services may receive limited technical information about faults to help us diagnose problems, but we configure them to avoid sending form contents, email addresses and similar personal data where possible. Such monitoring is not fully anonymous. Information from early access forms is not used for fully automated decisions producing legal or similarly significant effects. TechHireHQ does not make hiring decisions or automatically reject candidates.
12. Children's information
The website and early access programme are intended for adults acting in a professional or business context. We do not knowingly collect information from children. If you believe that a minor has submitted personal information, contact hello@techhirehq.com.
13. Changes to this notice
We may update this notice when the website, collected information, service providers, project structure or applicable requirements change. The current version will be published on this page with the effective date and version identifier shown above. Material changes may also be communicated by email where appropriate.
